What requirements you'll need to be eligible
- Bachelor’s degree in business administration, Finance, Communications, or related field preferred.
- 5+ years of experience as an EA or PA supporting C-level executives, preferably within asset management, private equity, investment banking, or financial services.
- Strong understanding of financial terminology, corporate structures, and investor dynamics.
- Experience working in fast-paced, high-stakes environments.
- Good proficiency in English and Mandarin (to support a Mandarin speaking stakeholder)
- Exceptional organization, prioritization, and multitasking skills.
- Professional communication (written and verbal) and client-facing demeanor.
- High attention to detail and accuracy.
- Strong sense of discretion, confidentiality, and integrity.
- Tech-savvy — proficient in Microsoft Office Suite, Google Workspace, and CRM or fund management tools.
- Self-starter who can anticipate needs and manage competing priorities with minimal supervision.

What you'll be doing on the job
Position Summary
We are seeking an all-rounder secretary to join our fast-growing financial services startup. The incumbent should support the principal by managing high-level administrative, operational, and strategic tasks. Act as a strategic partner and gatekeeper, ensuring time and priorities are effectively managed.

Executive Support
- Manage complex calendars, scheduling, and meeting coordination across multiple time zones if required.
- Good to have experience in preparing meeting materials, investment decks, and executive briefings.
- Assist with client meeting logistics — including agendas, minutes, and follow-ups.
- Handle confidential correspondence, documentation, and record-keeping.
- Track key business deliverables, deadlines, and investor communications.
- Coordinate with finance, operations, and compliance teams on business projects.
Investor Relations & Communication
- Support communication with investors, partners, and clients in a professional and timely manner.
- Help prepare and edit investor letters, presentations, and event materials if required.
- Maintain CRM or investor databases, ensuring accuracy and confidentiality.
Administrative & Office Management
- Oversee travel arrangements (domestic and international), accommodations, and expense reporting.
- Manage vendor relationships, office logistics, and supplies as needed.
- Coordinate internal and external events, including team offsites and investor gatherings.
Personal Assistance
- Provide personal support to the executive, including scheduling of personal appointments, family-related arrangements, and travel.
- Manage household administration, personal finances, or errands where required.
- Liaise with service providers, family offices, and other personal contacts.
- Maintain discretion and confidentiality across all personal and professional matter
