What you'll be doing on the job

Comprehensive HR Operations

  • Full-Lifecycle HR & Onboarding: Oversee end-to-end local HR logistics, from drafting employment contracts and conducting comprehensive new hire orientations to managing offboarding processes (including calculating final payments, Severance, or Long Service Payments in strict accordance with the HK Employment Ordinance).
  • Talent Acquisition & Recruitment: Lead the end-to-end recruitment life-cycle for the Hong Kong office. Partner directly with hiring managers to define talent needs, drive sourcing strategies across multiple channels (e.g., job portals, recruitment agencies), conduct initial HR interviews, and manage final offer negotiations to ensure the timely fulfillment of high-quality talent.
  • Benefits & Attendance Management: Manage the enrollment, administration, and renewal of local employee benefits (e.g., Group Medical Insurance, wellness subsidies, annual health checkups). Independently track complex leave balances and attendance records, resolving any discrepancies.
  • Performance & Training Coordination: Assist HQ in rolling out annual and bi-annual performance appraisal cycles locally, ensuring managers and employees meet system deadlines. Organize and track mandatory local compliance training (e.g., data privacy, workplace health & safety) for all staff.
  • Employee Relations & Culture: Serve as the primary point of contact for daily HR policy inquiries and initial grievance handling. Plan and execute local team-building activities and festive distributions (e.g., Mid-Autumn Festival) to boost morale, while actively promoting a healthy work-life balance and a "Right-to-Disconnect" workplace culture.
  • System Localization & HR Reporting: Lead the local testing, configuration, and launch of global enterprise systems (e.g., the HRIS Time-Off module), ensuring all global protocols are fully compatible with local realities (e.g., distinguishing between Statutory and Public Holidays, calculating Sickness Allowance). Generate accurate monthly HR reports (headcount, leave utilization, payroll metrics) to support HQ management decisions.
  1. Finance & Operations Control
  • Track vendor reconciliations and settlements, managing the compliant routing of local invoices. Maintain daily business communication with French HQ and provide accurate financial and operational data as required.
  • Coordinate and oversee the daily work of our third-party bookkeeping agency. Independently manage local payroll calculations, taking full accountability for data accuracy (requires exceptional attention to detail and the ability to work under pressure).
  • Coordinate Employer's Return filings and Mandatory Provident Fund (MPF) contributions, ensuring absolute compliance with Hong Kong statutory regulations and HQ audit standards.
  1. Sales Support & Legal Coordination
  • Provide highly efficient backend support to the local sales team with an "enabling business" mindset to boost overall sales productivity.
  • Act as the communication bridge between local business units and HQ Legal/Finance teams, assisting in the review and routing of NDAs and contract terms.
  • Assist in executing and optimizing existing cross-departmental Standard Operating Procedures (SOPs) and workflows, ensuring business activities are conducted both efficiently and in accordance with internal regulations.
  1. Vendor Management & Collaboration
  • Coordinate three-way communication between internal business lines and local vendors, clarifying responsibilities to ensure smooth project execution.
  • Oversee vendor onboarding, contract routing, and compliance checks, ensuring all external partnerships strictly adhere to the company's management protocols.
  • Execute and continuously optimize vendor management procedures, periodically reviewing engagement records to mitigate potential compliance and operational risks.
  1. Admin, IT & Process Optimization
  • Take overall responsibility for the daily administrative operations of the office, acting as the primary IT liaison and coordinator for basic troubleshooting when needed.
  • Proactively identify operational inefficiencies and introduce digital solutions (e.g., building internal knowledge bases, optimizing approval workflows) to foster a "self-service" workplace culture, thereby reducing repetitive communication costs.
